MINUTES OF THE EXTRA ORDINARY GENERAL BODY MEETING OF JNFOA HELD ON 31.03.2019 AT 10.30 A.M. AT JNFOA CLUB HOUSE

The following were present during the meeting:
JNFOA OFFICE BEARERS

  1. Thiru T.Bhasker, President.
  2. Thiru S.P.Uthay Poongkundram, Vice-President.
  3. Thiru R.Ramdoss, Secretary.
  4. Thiru R.E.Raghunathan, Joint Secretary-I.
  5. Thiru P.Ravi Thilakesh, Joint Secretary-II.
  6. Thiru T.Raja, Treasurer.
  7. Thiru S.V.Chandran, Joint Treasurer.
    Total no. of members in attendance – 74 members.
    The list of members who attended the meeting is enclosed as Annexure I.
    Quorum:
    The President welcomed all the members gathered for the Extra Ordinary General
    Body Meeting. As the number of members present did not form the quorum, the meeting
    adjourned for 15 minutes to form the quorum.
    The adjourned meeting commenced at 10.45 a.m and the members present
    decided to go ahead with the members present being the quorum.
  8. DECISION ON THE FURTHER COURSE OF ACTION ON THE
    OUTCOME OF THE ELECTION CONDUCTED FOR THE POST OF
    “SECRETARY”
    The President explained the need for the Emergency GB meeting called for and the EC’s
    decision to referring this matter to General body for the further course of action.
    Dr. D Chandramohan, the Election Commissioner also clearly explained the situation
    arises for his decision to disqualify the particular vote and the process adhered thereafter.
    Various members also participated in the discussions and gave their opinion/views to
    overcome this situation.
    The candidates also were given opportunity to speak in the meeting and expressed their
    views on the disqualification vote made by EC.
    Finally it was unanimously decided to go for Re-polling for the post of the Secretary
    including with the acceptance of the two candidates on the fray for this post.

Dr. R E Clements proposed the motion for the re-polling option for the post of Secretary
and Mr. S G Ganesan seconded the motion. The motion was passed unanimously by
members.

  1. APPOINTMENT OF ELECTION COMMISSIONER AND HIS DEPUTY.
    Members requested Dr. Chandramohan for the post of Election Commissioner to
    conduct the re-polling as decided by the GB and also the candidates agreement. Dr. Chandramohan also accepted the proposal and requested Mr. Mohan to join with for assisting him in the process.
    Mr. A Selvakumar proposed the motion for the appointment of Dr. Chandramohan as the Election commissioner & his deputy Mr. Mohan for conducting re-polling option for the post of Secretary and Mr. Raghunathan seconded the motion. The motion was passed unanimously by members.
  2. RE-POLLING DATE, VENUE AND FURTHER CLARIFICATIONS.
    Members unanimously decided to keep the Re-polling date as 7th April 2019 (Sunday) to be conducted at JNFOA club house or at JNFOA office. Also the further points were clarified and accepted by the members with respect to the voter’s eligibility.
  3. Only flat owners ( as per the eligibility list published earlier for the
    election conducted on 24th March,2019) or the Spouse of a member (
    registered flat owner) or either of the Parent of the member or children
    (above 18 years) of the member are eligible to vote. Tenants are NOT
    eligible to vote for this re-poll.
  4. All the voters are requested to bring any identity card issued by the
    Government authorities and an authorization letter (hard copy) issued by
    the owner for persons other than the owner.
  5. If any owner has more than one flat, he or she can vote for all the flats
    provided they submit documentary proof for all the flats.
  6. Persons having Power of Attorney (PoA) for a flat are also eligible to vote
    provided they bring a photocopy or original of PoA.
  7. If there is a tie in the result, the final result will be decided by a lot and the
    decision of the EC is final.
  8. As decided at the GB, either the candidate’s or their representatives will
    be allowed to sit inside the polling area along with the EC.
  9. NEW OFFICE BEARERS WILL TAKE CHARGE FROM 1-4-2019.
    The Vice President informed the members that as per the last GB’s decision (for
    extending another 2 months) the existing OB’s & EC tenure comes to an end today (31-3- 2019) . Already the New OB’s and EC’s were elected as per the results announced on 24th March 2019 except for the post of Secretary where re-polling has been decided by the GB. Accordingly new OB’s and EC will take charge from 1st April 2019 and run the association smoothly. Till the re-polling results announcement, the Secretary post will be vacant and the Joint Secretaries will look after the same.
